Responsible Sourcing Initiative Program Assistant, Africa

About the Role

 

The Circulate Initiative seeks a proactive Program Assistant for the Responsible Sourcing Initiative (RSI) in Africa. The Program Assistant will provide program coordination and administrative support to the RSI Africa team. This role is essential for the smooth delivery of projects across Kenya and other African countries, supporting the team in implementing activities related to informal waste picker livelihoods, recycling value chains, and the Harmonized Responsible Sourcing Framework. The ideal candidate is highly organized, proactive, detail-oriented, and comfortable working in a fast-paced environment with remote team members and multiple stakeholders.

 

Contract and Reporting

 

This is a full-time contractor role, reporting to the RSI Program Manager, Africa. The candidate will have the opportunity to work with colleagues and partners across regions.

 

Key Responsibilities

 

Program Support

 

  • Manage logistical and administrative needs for the coordination of project activities across Kenya and other African countries, ensuring alignment with workplans and timelines.
  • Track project deliverables, milestones, and budgets; flag delays or issues to the Program Manager.
  • Coordinate with partners, consultants, and team members to ensure timely delivery of activities.
  • Support the preparation of project reports, presentations, and communication materials.
  • Assist with partner due diligence processes, including document collection and basic background checks.
  • Maintain project management tools and trackers (e.g., workplans, dashboards, activity calendars).
  • Support the training and organizational development of waste workers.

 

Event Coordination

 

  • Manage invitations, participant registration, venue logistics, and materials preparation.
  • Manage the organization and facilitation of multi-stakeholder meetings, workshops, and virtual/in-person convenings.
  • Assist with post-event follow-up, including participant feedback and reporting.
  • Assist in preparing materials for external representation at network meetings, conferences, forums, and stakeholder meetings.

 

Key Competencies

 

  • 1–3 years of relevant professional experience in administration, logistics, program or project management, ideally in social impact or circular economy.
  • Proven ability to coordinate multi-stakeholder programs.
  • Demonstrated experience working with informal sector actors, government agencies, or international development partners.
  • Tenacious attention to detail, with excellent organizational, time management, and multitasking skills.
  • Values intellectual rigor and transparency; willing to ask for help or admit what one does not know.
  • Must be self-directed and able to work independently.

 

Education

 

The ideal candidate will have a Diploma or Bachelor’s Degree in Business Administration, Project Management, Environmental Science, International Development, or a related field.

 

Location

 

  • Remote position (contractor role) for candidates based in Kenya. Candidates must be authorized to work in Kenya.
  • Willingness to travel occasionally within Kenya and to other African countries.
